Privacy note: account requests

Version 2026-10-06b. This note covers the account-request form and the accounts it leads to. It does not cover the project's public website.

Who is responsible

What we collect

Your given and family name, your institution if you give one, your email address, what you tell us you want to use the environment for, and the time you agreed to this note.

To stop automated abuse of the form we also keep a scrambled, one-way form of your network address for 24 hours. It is not stored with your request and cannot be turned back into the address.

Why

To decide whether to give you an account, to create it, and to send you your login details. If you get an account, to contact you about it.

On what basis

Your consent (Article 6(1)(a) GDPR). You can withdraw it at any time by writing to us; we then delete your request, or close your account and delete your details.

Who sees it

Only the members of the Digital Heraldry project team who review requests. Your details are stored on the research environment's own server, in the network of Humboldt-Universität zu Berlin. They are not passed to anyone else, and no outside service (no analytics, no captcha) sees them.

How long we keep it

What your account records

If you report a problem with a record or suggest an identification, the report or suggestion is stored in the research environment's data with your username and the time. Other people with an account can read it there. Your name, email address and institution are not stored with it.

Your rights

You may ask us what we hold about you, and have it corrected or deleted; you may ask us to restrict its use or to give it to you in a portable form; and you may withdraw your consent. Write to heraldry.ifg@hu-berlin.de. You may also complain to a supervisory authority; for Humboldt-Universität this is the Berliner Beauftragte für Datenschutz und Informationsfreiheit.
